All Booked Up ("ABU," "we," "us," or "our") is a DBA of Sx3 Solutions, LLC. This privacy policy explains how we collect, use, share, and protect information when you visit abuvirtual.com (the "site"), use our live answering, appointment-setting, and customer service services (the "services"), or otherwise interact with us.
By using the site or our services, you agree to the practices described in this policy. If you don't agree, please don't use the site or services.
1. Who this policy covers
This policy applies to:
- Visitors to abuvirtual.com
- Home service business owners and staff who use our services
- Marketing agencies and partners who refer or resell our services
- Callers, customers, and leads of the businesses we answer calls for, when their information passes through our systems on behalf of our clients
If you're a customer calling one of our clients' businesses, please also see section 8 below, which covers your information specifically.
2. Information we collect
Information you give us directly
- Name, business name, email address, phone number, and mailing address
- Information submitted through contact forms, demo requests, or quote requests on our site
- Information you provide when signing up for or using our services (business details, service area, pricing, scripts, booking rules, CRM access)
- Payment and billing information (processed through our third-party payment processor, and we do not store full card numbers)
- Communications with us, including emails, calls, and chat messages
Information collected automatically
- IP address, browser type, device information, and general location (city or region level)
- Pages visited, time on site, and referring website
- Cookies and similar tracking technologies (see section 6)
Information collected while delivering services
- Call recordings and call transcripts, used for quality assurance, training, and appointment accuracy
- Appointment and booking records, including caller name, contact information, service details, and notes entered into your CRM (for example GoHighLevel, ServiceTitan, Housecall Pro, Jobber, and similar platforms)
- Performance and quality assurance data related to how calls and appointments are handled
3. How we use information
We use the information we collect to:
- Provide, operate, and improve our answering and appointment-setting services
- Answer calls, book appointments, and enter accurate records into your CRM or scheduling system
- Review calls for quality assurance and to train and coach our team
- Communicate with you about your account, service changes, billing, and support
- Respond to inquiries submitted through our site
- Send you service updates, and, where permitted, marketing communications (you can opt out at any time)
- Detect, prevent, and address fraud, security issues, or technical problems
- Comply with legal obligations
We do not sell your personal information.
4. How we share information
We share information only as needed to run our business and deliver our services:
- With our clients. If we answer calls or set appointments for a home service business, the caller and customer information we collect is shared with that business through their CRM or scheduling system, since that's the point of the service.
- With agency and white-label partners. Where we fulfill services on behalf of a marketing agency partner, appointment and account information is shared with that agency as needed to support their client relationship.
- With service providers. We use third-party vendors to operate our business, for example CRM platforms, payment processors, phone and telephony systems, and email or scheduling tools. These providers only access information as needed to perform their function for us and are not permitted to use it for their own purposes.
- For legal reasons. We may disclose information if required by law, subpoena, or legal process, or to protect the rights, property, or safety of ABU, our clients, or others.
- In a business transfer. If ABU is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy or a comparable one.
We do not share information with third parties for their own independent marketing purposes without your consent.
5. Call recording
Many of our services involve recording inbound and outbound calls for quality assurance, training, appointment accuracy, and dispute resolution. Where required by law, callers are notified that calls may be recorded. Clients are responsible for ensuring their own call-recording notifications and consent practices comply with the laws of the states or provinces in which they operate, since recording consent requirements vary (for example, some states require all parties to consent to a recorded call).
Call recordings are retained only as long as reasonably necessary for the purposes above and are accessible to authorized ABU personnel and, where applicable, the client the call was booked for.
6. Cookies and tracking
Our site may use cookies and similar technologies to:
- Remember your preferences
- Understand how visitors use our site
- Measure the effectiveness of our marketing
You can control cookies through your browser settings. Disabling cookies may affect how parts of our site function.
7. Data retention
We retain personal information for as long as needed to provide our services, maintain business records, meet legal and regulatory requirements, and resolve disputes. Call recordings, appointment records, and account information are generally retained for one (1) year, after which they are deleted or de-identified, unless a longer period is required by law.
8. If you're a caller or customer of one of our clients
If you called or contacted one of the home service businesses we answer for, your information is collected on behalf of that business, not for ABU's own independent use. That business is the "data controller" for your information, and we act on their behalf. If you have questions about how your information is used, we recommend contacting that business directly. You can also reach us using the contact information below and we'll help direct your request appropriately.
9. Your privacy rights
Depending on where you live, you may have rights to:
- Know what personal information we've collected about you
- Request access to or a copy of that information
- Request correction of inaccurate information
- Request deletion of your information, subject to legal and operational exceptions
- Opt out of marketing communications at any time
- (California residents) Rights under the California Consumer Privacy Act (CCPA), including the right to know, delete, correct, and opt out of the sale or sharing of personal information, noting again that we do not sell personal information
- (Canadian residents) Rights under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), including the right to access and correct your personal information

10. Data security
We use reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, or disclosure. No method of transmission or storage is 100% secure, so we can't guarantee absolute security.
11. Children's privacy
Our site and services are intended for businesses and adults. We do not knowingly collect personal information from children under 13 (or the applicable age in your jurisdiction). If you believe a child has provided us with personal information, please contact us and we'll delete it.
